Sale and Accounting of Arizona Department of Corrections (ADC) Pins

PURPOSE: This Director's Instruction outlines the procedure for the sale and accounting of ADC pins.

PROCEDURES:

1.0 Applicability:

The Administrative Services Division and Business Administrators shall coordinate the sale and accounting of ADC pins.

2.0 Distribution:

2.1 The Administrative Services Division shall distribute ADC pins to Business Administrators.

2.2 Additional pins for distribution at national conferences by ADC attendees require written approval from the Director or designee. The pins can be obtained by submitting an approved request to the Assistant Director, Administrative Services Division for processing.

3.0 Sale, Deposit and Reconciliation:

3.1 The Business Administrator shall designate an ADC Pins Custodian. The ADC Pins Custodian shall sell the pins at $1.00 each.

3.2 The proceeds from sale of the pins shall be kept separate from other funds and shall be deposited weekly by the ADC Pin Custodian into the USAS Donations Fund using index 09590 and comptroller object 4611.

3.3 The Business Administrator shall submit a monthly reconciliation, in the attached format, to the Administrator of Business and Finance by the tenth (10th) working day of the month.

4.0 Additional pins can be obtained from the Assistant Director of the Administrative Services Division or designee.

Effective Date: This Director's Instruction is effective February 1, 1999 .
